At first it should be kept in mind whether the room is available on that particular date, if so then for what length of time. If the date for conference room reservation is a Saturday or Sunday then prior bookings should be made. The next factor to consider is the list of priorities maintained by the hotels. Certain activities are particularly given advantage over the others, like:

- Community building (i.e. social events, recognition/award ceremony, etc.)

The sound is one of the most important aspects to consider while choosing a conference venue, before getting into the actual business of getting a conference room reservaiton. Whether it be an audio or a video conference, the sound has to be clearly audible and if possible advanced equipments should be used. The sitting arrangements, the microphone, the speaker positions should be checked attentively.
